📋 Paid Athletic Assistant Employment Process

IMPORTANT NOTICE (As of March 6, 2025): Freeze Forms and Tracking Numbers are no longer needed to process athletic assistants. Time spent as a Volunteer Coach is completely separate from paid status and will not be considered a retroactive extension. Full-time classified assignments may not be combined with Athletic Assistant positions.
  1. Hiring & Process Flow: The authorized school site athletic staff hires an Athletic Assistant. Returning Athletic Assistants only need to be fingerprinted if they are new to your school or if their employee number is inactive in the school's payroll system. SAA at the school site will need to complete an RPA.
  2. Prof Expert (Substitute Teacher): Complete and submit HR Form 9073 (RPA) and TCA 3167 Prof Expert Application to Interscholastic Athletics.
  3. TCA (Retired Certificated Teachers): Must contact Interscholastic Athletics at 213-241-5847 to begin processing. Coaches must be retired for more than 180 days.
  4. RPA Submission: Submit a Request for Personnel Action (RPA) form to your Assignment Technician.
  5. Schedule Processing Appointment: The SAA or Athletic Administrator will schedule the candidate by contacting one of the following Classified Employment Offices:
    • Mid-Cities Employment Office: 944 West 77th St. | 323-753-3321

  6. Appointment Requirements (ALL DOCUMENTS MUST BE ORIGINALS — NO PHOTOCOPIES):
    • Driver’s License or Government-issued photo ID (ID or passport).
    • Mantoux TB Test administered within 60 days of processing.*
    • Social Security Card (must have the exact same name on SS card and Driver's License).
    • Completed Request for Personnel Action (RPA) Form.
    • Nepotism Form.
    • Must be at least 21 years of age.
    • Proof of First Aid/CPR and AED (American Red Cross or AHA): Must be done in-person or a hybrid course with an in-person test. 100% online courses are not accepted because hands-on training with a manikin & lung bag is required.
    Note: Candidates cannot start prior to the effective date given by Classified Employment Services. Possession of an RPA or Employee Number does NOT constitute eligibility for employment.
  7. Obtaining Employee Number: Five days after the candidate has been fingerprinted, the school site contacts their region Classified Technician with the potential coach's last 4 digits of their Social Security number or ATI number and date of birth. If cleared, the Classified Technician assists with obtaining an employee number. (Do NOT call Classified Assignments).
  8. Required Certifications:
    Fundamentals of Coaching Class ($50 non-reimbursable): NFHS Fundamentals Course LA84 Course ($18 - Code: G444)
    Sudden Cardiac Arrest Course (2 yrs): NFHS SCA Course
    Concussion Course (2 yrs): NFHS Concussion Course
    Heat Illness Prevention Course (2 yrs): NFHS Heat Illness Course
    Spirit Safety Course (Cheer Only - 4 yrs): AACCA Spirit Safety Certification
    Swimming Certification: (Swim Coaches only - Valid 2 years)
  9. LAUSD Account Setup & Online Exams: Once an employee number is issued, Activate LAUSD Email Account. Once established, log into LAUSD MyPLN Portal to access and complete the last two exams: Child Abuse Prevention and Suicide Prevention.
  10. Uploads & Documents: Upload all completed certificates to HomeCampus Upload Portal and sign all required documents (Coaches Code of Conduct, Out of Season Advisor, Acknowledgment of Suspected Child Abuse Reporting District Policy).

  11. Final Clearance: AD will inform coaches if they are CLEARED to coach athletes before the start of the season.
Athletic Assistant Position Combination Guidelines:
  • 3-hour Classified Assignments (Community Rep, School Supervision Aide, Campus Aide, Instructional Aide, Teacher Assistant): Can receive 0.75 hours on a contract workday, or 3.75 hours on a non-contract day.
  • 6-hour Classified Assignments: Can receive 2 hours on a contract workday, or 3.75 hours on a non-contract day.
  • Full-Time (7 and 8-hour) Assignments: May NOT be combined with an Athletic Assistant Coaching position.
*TB Testing Policy (Paid & Volunteer): Test results read 48–72 hours after initial test. If positive, you MUST have a chest X-ray and provide documentation that your skin test read positive. T.B. skin tests and chest X-rays must be taken and read within 60 days prior to your processing appointment. Make sure that you receive an original document showing the NEGATIVE TB results; you will need to submit the results at the processing appointment.
